• 1) ELIGIBILITY

    a. The primary applicant must be a member of ARGANZ, employed in either Australia or New Zealand, unless the primary applicant is a trainee. 

    b. A primary applicant who is a trainee in an RANZCR accredited radiology training program may be eligible, provided that a secondary applicant (acting as mentor or supervisor) is an ARGANZ member, and endorses the application.  

    c. If applying for a research project Grant, the primary applicant must also be the principal investigator. 

    d. If applying for an educational project Grant, the primary applicant must also be the main author or creator. 

    e. The primary focus of the research or educational project must relate to abdominal / pelvic imaging.  

    f. Successful Grant applications must have ethics approval where relevant (including any projects involving humans or animals), prior to the release of the Grant funds, however, applicants may still apply for a Grant without ethics approval. 

  • 2) APPLICATION PROCESS

    a. Application is via the application form on the ARGANZ website HERE 

    b. By submitting an application, applicants agree to be bound by these terms and conditions. 

    c. Applications may be submitted at any time during the year. 

    d. The cut-off date for consideration for each year’s Grants is December 31st (or as otherwise stated on the ARGANZ website). Applications received after this date will be considered for the following year. 

    e. Submissions will be assessed in the order received. 

    f. ALL applications must include: 

    •  Name and details of primary applicant and any additional applicants 
    • Project details and plan containing a summary, and short description of: 

    – The background to the project.
    – The relevance of the project to abdominal imaging.
    – The potential to benefit patients, change radiology practice, or advance scientific understanding. 

    • A timeline, including expected completion date. 
    • Proposed budget and funding detail including: 

    – Breakdown of costs to be claimed, including relevant quotes.
    – Details of any other funding already sourced, or applied for. 

    • Relevant experience or track record of primary applicant / author and any co-investigators / collaborators / co-authors.
    • Brief outline of possible ethical issues. 
    • Supervisor / mentor details and endorsement (where applicable). Applications from trainees must be assessed by a mentor/supervisor before submission, who should give guidance in respect of the preparation and presentation of the research plan and budget. 
    • Signature of Head of Department, or authorised representative, and letter of support (where applicable). 

    g. RESEARCH GRANT applications should also include: 

    • Outline of the aims, any research question or hypothesis to be tested, and proposed methodology. 
    • Proposed statistical methods, possible issues, and justification of sample size 
    • Brief outline of relevant existing literature.

    h. EDUCATION GRANT applications should also include: 

    • Outline of the educational need the project is fulfilling (and specifically how this relates to abdominal / pelvic imaging), and the proposed target audience. 
    • Any relevant technical details including planned delivery platform and accessibility, software/hardware requirements. 
    • Brief outline of relevant references, and similar models or tools. 
  • 3) ASSESSMENT OF APPLICATIONS AND AWARDING GRANTS

    a. Applications will be assessed by an ARGANZ Research and Education Grant review panel composed of members of the ARGANZ executive committee. 

    b. From time to time input may be sought from other reviewers with particular relevant specialist knowledge. 

    c. To avoid any real or perceived conflicts of interest, an ARGANZ executive committee member involved in the application or proposed project will not participate in the review process. 

    d. The review panel’s decision in selecting the successful applications will be final.  

    e. Grants must be taken as offered and are not transferable. 

    f. The ARGANZ committee is under no obligation to offer any Grant, and the awarding of future Grants may be withdrawn at any time for any reason in its sole discretion. 

    g. Applications will be assessed on merit and information contained in the application, using the following criteria: 

    • Clearly stated aims and objectives 
    • Relevance of the project to abdominal imaging 
    • Originality, innovation and significance of the project 
    • Potential to benefit patients, or advance scientific understanding  
    • Potential for publication and evidence based change in radiology practice 
    • Soundness of hypothesis or educational project design 
    • Appropriateness of study method and design 
    • Proposed budget, including quotes and realistic estimation of costs to be claimed 
    • Timeline and commitment to complete the project with a defined timeframe 
    • Track record of the applicant and co-investigators 

    h. In some circumstances, applications which do not meet all criteria may still be considered, if it can be justified why particular criteria should not apply. 

    i. The review panel may decide to award all or only part of the amount requested depending upon: 

    • Satisfaction with the proposed budget and any quotes submitted 
    • Possibility for funding from other sources 
    • Research and Education Grant fund balance remaining for the year 
  • 4) PROGRESS AND COMPLETION REQUIREMENTS

    a. Grant recipients are expected to provide a timeline with a defined end-point, and expected completion date.  

    b. Unless agreed in advance, the project must be completed within two years of the date of Grant approval notice. 

    c. Grant recipients must notify the ARGANZ committee of any unexpected delays or change in circumstances that may affect successful completion within the timeframe agreed. 

    d. Grant recipients must notify the ARGANZ committee of any substantial changes to the project, including budget variations. 

    e. Requests to amend any term or condition must be made in writing to the ARGANZ committee, to be considered on a case by case basis. 

    f. A brief progress report to the ARGANZ committee is a requirement, at six-monthly intervals, or on request. This should include any preliminary presentations or publications to date. 

    g. A final report is to be submitted to the ARGANZ committee (including a copy of the published work, where relevant) within 3 months of the agreed completion date, outlining research or education activities already completed (and ongoing), or other outcomes. 

    h. Presentation at the ARGANZ meeting, within 12 months of completion (or in some circumstances, prior to completion), is a requirement. In most cases, this will be a poster presentation. An oral presentation may be considered, at the discretion of the ARGANZ committee. 

    i. Research Grant recipients are expected to submit their work for publication. 

    j. Any manuscript, educational material or other content created by a recipient in relation to a Grant should include an acknowledgement of the funding of the project by an ARGANZ Research and Education Grant. 

    k. If requested, Grant recipients are expected to provide an update regarding their project and the ARGANZ Grant experience for the ARGANZ website, newsletter or similar. 

  • 5) EXCLUSIONS

    a. The ARGANZ Research & Education Grants will not fund: 

    • The principal / other investigators’ or authors’  time 
    • Transport / travel 
    • Insurance 
    • Resources that would be routinely funded by the applicant’s institution, employer, or other source independently of this project 
    • Overhead fees or similar fees exceeding 10% of the total Grant funding applied for 
    • Overseas fellowship or “observership” 

    b. Other items, not specifically listed above, may be excluded at the sole discretion of the ARGANZ committee. 

  • 6) NOTIFICATION

    a. The applicant will be notified by email following assessment by the review panel.  This should occur within two to three months of a completed application being received. 

    b. Names of Grant recipients and funded projects will be listed on the ARGANZ website. 

  • 7) PAYMENT

    a. Grants may effectively be paid in a combination of forms (in advance or as reimbursement in some cases), with the total payment not exceeding the initial amount awarded. 

    b. The Grant may be paid to an institution (e.g. a hospital department) or directly to an individual.

    c. Payment details will be confirmed once the Grant is awarded. 

    d. Payment will generally be made via bank transfer in AUD or NZD. 

    e. Depending upon the project type and Grant size, funds may be paid as a lump sum, or spread over an agreed timeframe. 

    f. In some instances, payment to Grant recipients will be made only after presentation of relevant invoices or receipts, with payment not exceeding these amounts regardless of the initial claim or budget. 

    g. In some instances, where agreed in advance, ARGANZ may choose to pay certain invoices directly (on behalf of the Grant recipient), with the amount deducted from the total funds awarded. 

    h. In some instances, where agreed in advance, ARGANZ may choose to reimburse certain expenses incurred by Grant recipients, only after presentation of relevant receipts or other proof of payment, together with a completed reimbursement claim form. 

    i. Copies of any relevant invoices and receipts must be provided, with payment not exceeding these amounts regardless of the initial claim or budget. 

    j. Grant recipients must seek their own tax advice. 

    k. Any applicable income tax, accounting costs and bank fees are the responsibility of the recipient. GST is not payable. 

    l. Payment may be withdrawn or suspended, and the recipient asked to repay any amount already awarded: 

    • Where the recipient fails to comply with any of the terms and conditions of the Grant. 
    • Where the ARGANZ committee becomes aware of any false or misleading information provided during the application process or progress reports, which comes to light subsequently.  
    • Where the recipient fails to comply with the objectives specified in the application. 
    • Where the project is terminated prematurely, excluding reasons beyond the applicant’s control, as determined by the ARGANZ committee. 
    • For unsatisfactory progress as determined by the ARGANZ committee.
